A job completion report records what your team finished, how the result was checked, and what still needs attention. It gives clients and managers a clear closeout record instead of a message that simply says “job done.”

What Is a Job Completion Report?

A job completion report documents the outcome of a specific job or agreed scope of work. It typically includes:

  • Client, location, and job reference
  • Technician and visit times
  • Requested work and completed tasks
  • Materials or consumables used
  • Checks performed and observed results
  • Photo evidence
  • Open items and next actions
  • Final status
  • Acknowledgment or approval, when required

A field service report records a service visit more broadly. A job completion report focuses on closing out the agreed work, including any unfinished items.

Define the acknowledgment wording before collecting a signature. It should make clear whether the person is confirming receipt, the recorded visit outcome, or acceptance of the work. Do not imply that a signature closes unresolved items.

Agreed Scope

Before sending the report:

  1. Confirm the job reference, location, and visit details.
  2. Match completed tasks against the agreed scope.
  3. Record each check with its method and observed result.
  4. Caption photos so another person can understand them.
  5. Assign an owner and next action to every open item.
  6. Choose a final status that reflects the whole scope.
  7. Record whether acknowledgment was obtained or remains pending.

Common Mistakes to Avoid

“Job done” does not explain the result. Name the tasks, location, and checks.

Do not mark the entire job completed when part of the agreed scope remains inaccessible or unfinished.

Keep open items separate from completed work. Each one needs a next action and an owner.

Avoid conclusions your evidence cannot support. A visual check documents what was observed; it does not establish performance that was never tested.

Who should sign the report?

Record that the signature was not obtained. Note the circumstances and send the report through your agreed handover process. Do not record approval you did not receive.

Can I create a report for a partially completed job?

Yes. Identify completed work, explain what remains unfinished, and record the next action. Use a status such as “Partially completed” or “Follow-up required.”

How long should I keep job completion reports?

Follow your contract requirements, company retention policy, and applicable recordkeeping obligations. There is no single retention period that fits every job and location.
